The Challenge:

Proman's End of Year celebration required two distinct events to take place on the same day in a single venue: an awards ceremony in the morning and a Christmas party at night. This presented a significant logistical challenge, with only a four-hour window to completely transform the space, from a theatre-style seated formal event, to a full-scale Christmas party, complete with a 20-foot tall Christmas tree and a 360 LED bar.

Solution

To tackle the tight turnaround, we pre-built all the Christmas-themed items and strategically concealed them behind drapery during the awards ceremony. When the time for the transformation came, these elements were revealed and moved into place. We utilized a dynamic lighting scheme to create the festive atmosphere and designed key infrastructure components on wheels to allow for quick movement into and out of the space.

Results

The seamless execution of the plan resulted in two completely different and successful events in the same venue on the same day. The dramatic reveal of the Christmas party setup created a memorable “wow” moment for guests, and the efficient transformation allowed the festivities to begin on schedule.
